AI Policy

1. How we use AI

Haavisa uses automated systems to assist with:

• Document validation: checking passport scans for machine-readable zone (MRZ) validity, verifying photo specifications (size, background, composition), and detecting expired documents.
• Application completeness: flagging missing or inconsistent fields before human review.
• Information extraction: reading structured data from uploaded documents (passport number, expiry date, nationality) to reduce manual entry errors.

These systems are assistive — they flag issues for review. They do not make final decisions on your application.

2. Human review

All applications flagged by our automated systems are reviewed by a human team member before any action is taken. Automated validations that pass are spot-checked by human reviewers as part of our quality-assurance process. No application is submitted to a government authority based solely on an automated decision.

3. Confidence thresholds

Our automated document validation assigns a confidence score to each check. Results below our confidence threshold are escalated for mandatory human review. Results above the threshold are spot-checked on a randomised sample basis. We err on the side of human review when confidence is ambiguous.

4. Privacy safeguards

• Document data sent to AI validation systems is transmitted over encrypted channels and is not used to train or improve third-party AI models.
• Sensitive personal information (passport details, biometric data) processed by our AI systems is encrypted at rest and deleted after validation is complete.
• We do not share your documents or personal data with external AI service providers for purposes other than the specific validation task.

5. Transparency

If your application is flagged by an automated system for an issue (e.g., an unreadable passport scan), we tell you what was detected and what needs to be corrected. You can ask us at any time whether a particular decision about your application involved automated processing by contacting support@haavisa.com.

6. Changes to this policy

As our use of AI evolves, we will update this policy and note the changes here. If a change materially affects how your data is processed, we will notify you by email before the change takes effect.
